What actually happens when a renewal payment fails

A failed renewal doesn't cancel a subscription. WooCommerce Subscriptions opens a grace period instead — the subscription stays active, the customer keeps access, and WooCommerce retries the charge on its own schedule. Everything the dashboard shows about a grace-period risk is really just answering one question: how many days has that been going on?

Day zero: nothing looks different yet

When a renewal charge is declined, WooCommerce sets the subscription's grace flag and keeps it active — the customer isn't locked out, and the store isn't charging again immediately. The countdown starts from that moment. For the first two days, the plugin classifies this as Info and sends no email at all, since most retry attempts succeed within this window and an alert this early would just be noise.

Escalation is by day count, not a calendar deadline

Once a subscription has been in grace for 3 days (the default — it's configurable), it moves to Warning. At 7 days (also configurable), it moves to Critical. These are thresholds, not fixed windows — a subscription that hits Critical on day 7 stays Critical on day 14, day 30, for as long as it remains unresolved. The severity only ever moves forward until something changes it.

Two ways it ends

Either the retry succeeds and the subscription returns to fully active — at which point it drops off the active-risk list on the next scan — or the customer cancels outright, which moves the subscription to a pending-cancel state. Pending-cancel subscriptions are deliberately excluded from grace alerts: the customer has already decided to leave, so a payment-recovery email at that point serves no one.

Why alerts don't pile up forever

A grace-period lookback window (6 months by default) keeps subscriptions that have been stuck in grace for an unusually long time from cluttering new alerts indefinitely. And within that window, the same subscription won't trigger the same email type twice inside a 35-day cooldown — so a Critical subscription that's been sitting there for three weeks doesn't generate a fresh email every single day it stays that way.
